How the JAINA Convention collects, uses, and protects your information.

This Privacy Policy explains how the Federation of Jain Associations in North America ("JAINA," "we," "us") and the host Jain Sanghs of Dallas, Austin, and Houston handle information collected through this website and in connection with the 24th Biennial JAINA Convention (July 2–5, 2027, Hilton Anatole, Dallas). Please read this policy to understand our practices and your choices.
Information we collect
- Information you provide — name, contact details, family/group members, dietary and accessibility needs, and similar details you enter when you register, donate or pledge, sign up for updates, or contact us.
- Payment information — registration and donation payments are processed by a third-party payment provider. We do not store full card numbers on our servers.
- Information collected automatically — basic technical data such as browser type, device, and pages viewed, used to keep the site working and to understand general usage.
How we use your information
- To process registrations, payments, donations, and pledges.
- To communicate with you about the convention — confirmations, schedules, logistics, and important updates.
- To plan the event, including meals, seating, accessibility, and youth and family programming.
- To improve the website and respond to your questions.
Cookies and your choices
When you first visit, our cookie banner gives you equally available choices to Accept all, Reject all, or Customize. Optional analytics cookies remain off unless you actively consent. You can withdraw or change your choice at any time using the Cookie preferences link in the footer.
- Strictly necessary — required for the site to operate and to remember your cookie choice. These are always active.
- Analytics — Google Analytics and Microsoft Clarity help us understand general website usage, such as pages viewed, approximate location, browser/device information, clicks, scrolling, and other interactions. If you enable Analytics, these services may use analytics cookies to recognize sessions and provide fuller measurement, heatmaps, session interaction insights, and website-experience analysis.
We use Google Analytics with Advanced Consent Mode and Microsoft Clarity with consent-aware measurement. Before Analytics consent is granted, analytics storage remains denied. These services may receive limited cookieless measurement signals, but analytics cookies are not used. If you grant Analytics consent, analytics storage is enabled. Advertising storage, advertising personalization, and Google Signals remain disabled in our website configuration.
Rejecting Analytics does not limit your access to the website. You may also control or delete cookies through your browser settings.
How we share information
We do not sell your personal information. We share it only as needed with: service providers who help us run the convention (such as the payment processor and the host hotel for room bookings); the host Sanghs and JAINA volunteers organizing the event; and authorities when required by law. Vendors are expected to use your information only to provide their services.
Data retention
We keep your information for as long as needed to operate the convention, meet our nonprofit and legal obligations, and maintain appropriate records, after which it is deleted or anonymized.
Security
We use reasonable administrative and technical safeguards to protect your information. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
Your choices
You may unsubscribe from convention emails at any time using the link in those messages, and change your cookie choices via "Cookie preferences" in the footer.
Your privacy rights
Depending on where you live, you may have some or all of the following rights regarding your personal information:
- EU/EEA & UK (GDPR / UK GDPR): the right to access, correct, delete, restrict, or object to processing; the right to data portability; and the right to withdraw consent at any time. You also have the right to lodge a complaint with your local data-protection authority.
- California (CCPA/CPRA): the right to know what personal information we collect and how it is used, the right to access and delete it, the right to correct it, and the right to opt out of any "sale" or "sharing" of personal information. We do not sell or share your personal information as those terms are defined under California law. We will not discriminate against you for exercising your rights.
- Canada (PIPEDA): the right to access your personal information and to challenge its accuracy, and to withdraw consent subject to legal or contractual limits.
To exercise any of these rights, email info@jaina.org. We will verify your request and respond within the time required by applicable law. You may authorize someone to make a request on your behalf.
Legal bases for processing (EU/UK)
Where GDPR applies, we process personal information on the basis of: performing our agreement with you (processing your registration and attendance); your consent (optional cookies and marketing emails); our legitimate interests (running and improving the convention and securing the site); and compliance with legal obligations.
International data transfers
JAINA is based in the United States, and the convention is held in the United States, so information you provide is processed in the U.S. If you are outside the U.S., your information will be transferred to and processed in a country whose data-protection laws may differ from your own. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for these transfers.
Children's privacy
Registrations for children are made by a parent or guardian. We collect children's information only as part of a family registration and use it solely to plan family and youth programming.

This site links to other websites (for example, the host Sanghs, the hotel, and JAINA.org). We are not responsible for the privacy practices of those sites.
Changes to this policy
We may update this policy as the convention approaches. The "last updated" date above will reflect any changes.
